# All files

The **All files** page in Document360 Drive brings every file in your project into a single view, regardless of which folder or subfolder it lives in. It is the fastest way to perform bulk operations — moving, copying, downloading, or removing multiple files at once without navigating folder by folder.

---

## Why use the All files page

- **Manage files at scale** — Perform bulk operations across your entire Drive from one place instead of repeating actions folder by folder.
- **Monitor storage** — See how much Drive storage your project is using at a glance.
- **Find files faster** — Use filters to narrow down files by type, upload date, uploader, tags, or dependency status without browsing through folders.
- **Clean up unused assets** — Filter for files with no dependencies to identify and remove assets that are no longer in use.

---

## Before you begin

- The All files page shows **20 files per page**. This is fixed and cannot be changed.
- Bulk move and copy operations work within the **same project** only.
- Removing a file that has active dependencies will break any article, page, or content reuse element that references it. A warning is shown before deletion, but the action is not reversible from this page — removed files go to the **Recycle Bin** where they can be restored or permanently deleted.

---

## Access the All files page

1. Navigate to Drive () in the left navigation bar in the Knowledge base portal.
2. In the left navigation pane, navigate to **All files**.

The All files page opens, listing all files across every folder and subfolder in your project.

## Elements of the All files page

#### Storage Usage

The page displays how much of your Drive storage is currently in use against the total available.

#### View Options

Files are displayed in **list view** by default. Click **Grid view** to switch to a thumbnail-based layout — useful when browsing image files visually.

#### Filters

Use the **Filter** option to narrow down files by specific criteria. You can also perform bulk operations on filtered results.

| Filter | What it does |
| --- | --- |
| Dependencies | Shows files with or without dependencies — useful for identifying unused assets |
| Uploaded | Filters files by upload date |
| Uploaded by | Filters files by the user who uploaded them |
| Type | Filters files by file format |
| Tags | Filters files by user-added tags |

#### Pagination

The All files page displays 20 files per page. Use the **Next** and **Previous** buttons or click a **page number** at the bottom of the list to navigate between pages.

## Perform bulk operations

### Select files

There are two ways to select files:

- **Select individually** — Click the checkbox next to each file you want to include.
- **Select all on current page** — Click the **Select all** checkbox at the top of the list to select all 20 files on the current page.

 NOTE

To select every file in your project across all pages, click **Select all {N} items** after using Select all. This extends the selection beyond the current page to all files project-wide.

### Choose a bulk action

Once files are selected, the following actions become available in the top menu bar:

| Action | What it does |
| --- | --- |
| Move | Relocates selected files to another folder or subfolder within the same project. File URLs do not change. |
| Copy | Duplicates selected files to another folder or subfolder within the same project. Each copy gets a new URL and is prefixed with "Copy of". |
| Download | Downloads all selected files to your local storage as a .zip file. |
| Remove | Moves selected files to the Recycle Bin. Files can be restored or permanently deleted from there. |

 CAUTION

Removing files with active dependencies will break any articles, pages, or content reuse elements that reference them. A warning is displayed before the action is confirmed — review dependencies before proceeding.

## Best practices

- **Filter before you act** — Bulk operations apply only to selected files; filtering first ensures you target the right subset.
- **Check dependencies before bulk removal** — Review which files are referenced before deleting, so you can re-link them if needed.
- **Use "Without dependencies" filter regularly** — Quickly surface unused assets and keep your Drive clean as part of routine maintenance.
- **Download before removing** — Bulk download files you're unsure about before deletion; it serves as a local backup beyond the Recycle Bin.
- **Use grid view for image audits** — Thumbnail view makes it faster to spot outdated or incorrect visuals before taking action.
