It covers accessing the content management section, selecting export options, configuring PDF template settings, and managing templates. ## Access 'Content Resources' section. In the left navigation bar, click the Content Rescources icon. ## Click 'Export articles' Under Import and Export, click Export articles. ## Open 'PDF templates' Select PDF templates tab. ## Create a new template Click Create new template at the top-right corner to create a new PDF template. ## Name the template Provide an appropriate name for the template in the Template name field. ## Manage Display options Click the Display options button to configure display settings such as layout, margins, and additional pages. Select the page orientation as Portrait or Landscape from the Select layout style dropdown. Select the margin of the PDF template as Normal , Moderate , Narrow , Wide , or set custom margins (10 to 80 pixels) from the Margin dropdown. ## Add and configure 'Cover page' Select the Cover page checkbox to include a cover page in your PDF template. Click the downward arrow to expand the section and configure the settings. Enter the Title and the Description for the cover page. Set the text alignment ( Horizontal or Vertical ). Set the Font color and the Background color using the color picker. Upload a Background image or logo from your local storage with standard sizes or set a custom size (min 20px, max 300px). ## Add and configure 'Terms & conditions' Select the Terms & conditions checkbox to include a page that lists the terms and conditions in your PDF template. Click the downward arrow to expand the section and configure the settings. Select Link existing article to include an article from your knowledge base. This will be the default selection. Use the search field to search for an article in your knowledge base. Select Custom to open the mini editor. ## Add and configure 'Table of contents' Select the Table of contents checkbox to enhance and simplify navigation within the PDF. This will provide a clear overview of the document's structure. Click the downward arrow to configure the settings: Enter a Title , or keep “Table of Contents.” Select the headings to include. Choosing a subheading (e.g., H4) will automatically include its parent headings (H2, H3). Enable Show category path to display breadcrumbs next to category names in the table of contents. ## Add watermark Turn on the Enable watermark toggle to include a watermark in your PDF. A watermark is faint text or an image that appears behind the document content. Choose a watermark type: Select Image to upload an image and use a standard size or set a custom size (20–350 px). Select Text and enter desired watermark text in the Watermark text field. Customise the watermark: Select a Position ( Default , Diagonal , or Inverse ). Adjust the Opacity to control visibility. ## Manage 'Header & footer' settings Click the Header & footer button to configure header and footer settings to appear in your PDF template. Add a Header image from your local storage to appear on all pages, excluding the cover page. This can be a logo or any other image. Select Image size ( Small , Medium , Large or Custom ). Align the image by choosing the options ( Left , Center or Right ). ## Show page numbers Select the Page numbers checkbox to show page numbers on every page of the PDF. Click the downward arrow to configure the display settings: Set the page numbering formats: Page 1 of 10 , Page 1 , or 1 . Set the position of the page numbers as Left , Center , or Right from the Text alignment options. ## Add footer text Select the Footer text checkbox to display custom content at the bottom of each page. Click the downward arrow to configure the footer text settings: Enter the required information to be displayed as the footer text in the Content field. Customize the Font size (10 – 16px). Use the color picker or enter the hex code to set the Font color . ## Manage text settings Click Text settings to configure the font and color settings for headings and paragraphs in the PDF. Heading text settings Choose a font family for the headings (e.g., Arial, Calibri, Verdana) from the Select font family dropdown. Use the color picker or enter a hex code to specify the Heading color (H2, H3, H4). Paragraph text settings Select the font for paragraphs (e.g., Arial, Calibri, Verdana) from the Select font family dropdown. Choose a Font size (10 - 24px). Use the color picker or enter the hex code to set the Font color for paragraphs. Turn on the Disable links in the PDF toggle to deactivate internal hyperlinks in the exported PDF (except for the Table of Contents and direct URLs). Set the color of hyperlinks using the color picker or enter the hex code usign the Link color option. ## Set as default template Select the Set as default settings checkbox to set the PDF template as the deafult template. A Default tag appears next to the template name on the design template overview page. ## Preview the PDF template You can see the preview of your PDF template on the right with all the configurations applied. ## Save your PDF template Click Save at the bottom to save your PDF template. ## Clone a template To create a duplicate of the PDF template, hover over the desired template in the PDF templates tab and click the Clone icon. ## Clone template preview The clone template will be created with the word Clone added next to the original template name. You can edit it to make the required changes and Save the template. ## Edit a template To modify or make any changes to the PDF template, hover over the desired template in the PDF templates tab and click the Edit icon. ## Modify the template Make necessary modifications or changes to the template if needed. Once the changes has been made, click Save at the bottom to save the changes. ## Delete a template To discard/delete a template, hover over the template in the PDF templates tab and click the Delete icon. ## Delete confirmation On clicking the Delete icon, a confirmation popup will appear. Click Yes . ## Task completion You have successfully designed a new PDF template.
