# Find and replace

**Find and replace** allows you to search and replace a keyword/phrase across your project's articles and category pages.

## Performing the find and replace operation

1. Navigate to the **Content tools** (![Content tools icon](https://cdn.document360.io/860f9f88-412e-4570-8222-d5bf2f4b7dd1/Images/Documentation/Content%20tools.png)) in the left navigation bar in the **Knowledge base portal**.
2. In the left navigation pane, select **Content management** > **Find and replace**.
3. Enter the keyword/phrase you want to search for in the **Find** field.

> For example, when you replace `page` with `article`, all occurrences of `page` will be replaced with `article` but only when it is a separate word. The word `homepage` will be ignored for this action.

> The number of times the term is mentioned in the article is fetched by the **Find** field and displayed as occurrences. The occurrences are displayed at the top of the article preview pane.
  - A list of articles and category pages with the keyword/phrase appears.
  - To narrow the results, click the **Filter**available at the top right.
  - Select the **Match whole words**checkbox to find and replace a specific word/phrase.

1. Select the articles and category pages where you want to replace the text.
  - To replace the text in the desired article, select the adjacent checkbox.
  - If you want to replace it in all instances, select the checkbox next to the **Articles/Category pages** column header.
2. Enter the keyword/phrase you want to replace in the **Replace with** field.
3. Click **Replace**.

> The **Replace** button is enabled only when you select at least one article/category page.

1. Select the desired article status after replacement.
  - **Publish** - To publish the article after replacing the keyword/phrase.
  - **Draft** - To keep the article in the draft after replacing the keyword/phrase.
2. Click **Apply**.
3. To view the full article in a new tab, click on the open article in new tab (**) icon near the **Article preview**.

> The Find and replace operation ignores certain elements such as variables, snippets, glossary terms, code blocks, and hyperlinks to prevent accidental modification of structured or linked content.

### Filter options

The following filter options are available:

- **Workspace/Language** - To filter the search results by workspace and language.
- **Visibility** - To filter the search results by visibility status (Visible/Hidden).
- **Status** - To filter the search results by article status (New article/Draft/Published).
- **Contributors** - To filter the search results by contributors. You can search by user name, and multiple selections are allowed.
- **Tags** - To filter the search results by tags.
- **Updated on** - To filter the search results by the last updated date range.

## Find and replace in editor

You can use the **Find and replace** tool in the **Markdown**editor and the **Advanced WYSIWYG**editor to quickly locate and modify text.

1. In the **Markdown**editor, click **Find and replace**(**) in the article header.

1. In the **Advanced WYSIWYG**editor, click the **More**(**) icon and select **Find and replace**(**).

> When the tool is used from the editor, it finds and replaces the text only in the respective article.

### FAQ

#### Who can access the Find and replace?

Find and replace is available only for team accounts with Content role as **Editor** (or) custom content role with the Perform **Find and replace** permission.

#### Can I perform a replace without entering anything in the 'Replace with' field?

- You can perform a Replace without content in the **Replace with** field. The keyword/phrase entered in the **Find** field will be removed from the selected articles and category pages.
- When you enter nothing in the **Replace with** field and click **Replace**, the 'Replace content is not provided' message appears in the 'Confirm replace' prompt.

#### Does the 'Replace with' change the Markdown or HTML syntax entered in the editor?

No, it does not replace the Markdown or HTML syntax entered in the editor. It replaces the text that appears in the Knowledge base article.

> For example, to replace the keyword "Set up" with "Install" in an article with Markdown syntax, enter as : Find - `Set up`; Replace - `Install`.

#### Do the search results return the articles in the Recycle bin?

No, articles and category pages dumped into the Recycle bin will not be included in search results.

#### How many replacement events can be performed?

Occurrences in up to 1000 articles can be replaced in a single event.

#### Does the global “Find and replace” modify all elements within an article?

No, the global Find and replace tool (accessed from **Content tools** > **Content management** > **Find and replace**) excludes certain elements from replacement operations. It skips variables, snippets, glossary terms, code blocks, and hyperlinks to prevent unintended changes. Only plain text content within the selected articles and category pages is affected.

#### Are Find and replace actions captured in Team auditing?

Team auditing records Find and replace actions performed from **Content tools**, where you update text across multiple articles in the knowledge base.

When you use the Find and replace option inside the article editor, the action is treated as part of the article’s regular editing workflow. These changes are not logged as a separate entry in Team auditing.

#### Is Find and replace case sensitive?

The **Find** function is not case sensitive. This means it will find a word regardless of whether it is written in uppercase or lowercase.

However, when you **Replace**a word, the replaced text will appear exactly as you type it in the **Replace with** field.

Example

If your article contains the following words:

- `API`
- `Api`
- `api`

And when you search for api, the **Find** feature will locate all three variations.

If you **Replace**it with Application Programming Interface, every match will be replaced exactly as typed:

`Application Programming Interface`

Permissions assigned to a user that control what actions they can perform on knowledge base content. Confirmed content roles: Editor (manage articles, categories, drive, workflows, content reuse), Draft Writer (create and edit articles but cannot publish), Reviewer (add comments, update workflow status, set due dates), and None. Multiple content roles can be assigned to a single user. Managed separately from Portal roles.
