Document360 offers several ways to customize your article metadata to make the most out of SEO. You can update the SEO metrics within a few seconds. It'll help in yielding organic traffic to your knowledge base.
Meta title
The Meta title is the title that is shown on the search engine results page (SERP). The meta title is also referred to as the SEO title. The Meta title differs from an article title and will appear on a search engine result page or when the article link is shared on social media or other websites. This allows you to optimize a title to include more keywords that relate to your product than you would in your knowledge base.
Updating the SEO title does not change the title of the article in your knowledge base.
What happens if no SEO title is specified for an article?
If the user does not specify any SEO title, the article title entered while creating the article will be added as the default SEO title. SEO title will not change with any future article title changes.
How to add/update the Meta title?
- Navigate to the desired article/category page, click Article settings/Category settings → SEO
- Enter the desired title in the Meta title field
The optimal meta title length is 50-70 characters (including spaces)
- Click Save
Meta description
Similar to the meta title, the meta description is the summary that will be returned on a search engine result page or when the article link is shared on social media. The Meta description should be short, concise, compelling, and descriptive of the content within the article.

In Document360, you can utilize the SEO description generator feature to generate the meta descriptions. This AI (Artificial Intelligence) powered feature will yield the best meta description for your articles and category pages based on the content.

What happens if no SEO description is specified for an article?
If the user does not specify any SEO description, the web search engines will pick a dynamic text from the article as the default SEO description. This description changes when it appears in web search results based on the search query.
How to manually add/update the Meta description?
- Navigate to the desired article/category page, click Article settings/Category settings → SEO
- Enter the desired description in the Meta description field
The optimal meta description length is 120-160 characters (including spaces).
- Click Save
How to generate meta descriptions with the SEO description generator?
- Navigate to the desired article/category page, click Article settings/Category settings → SEO
- Click the Generate meta description button
- The best meta description is generated based on the article/category page content
- Click Save
- Make sure you have enough Credits* to perform this operation.

Featured image
When the article link is shared on social media or other websites, the featured image will appear with the SEO title and description. To add a featured image to your article, you must first upload it to the Drive.
How to add a featured image?
- Navigate to the desired article/category page, click Article settings/Category settings → Featured image
- Click Upload an Image
- Choose the desired image from the Drive menu and click Insert
- Click Save
What happens if no 'Featured image' is specified for an article?
If the user does not add any Featured image, the web search engines or the social media platform, upon sharing the article link, will pick a random/first image found inside the article.
The contributor profile image will be crawled if no images are available inside the article.
How to remove a featured image?
- Navigate to the desired article/category page, click Article settings/Category settings → Featured image
- Click Remove Feature Image
- Click Save
Excluding an article from search engine results
You can exclude the articles/category pages from external search engines and search results.
How to exclude from search results?
- Navigate to the desired article/category page, click Article settings/Category settings → SEO
- Select the checkbox Exclude from external search engines like Google, Bing, Yahoo, etc.
- Click Save
