You can hide a category or subcategory within the documentation editor to only be accessible by team accounts. Hidden categories are struck-through in the categories list of the Documentation window.
For example, you may want your sales team to have access to a category containing pricing details but don't want that category to be visible to customers. You would hide the article so it wouldn't appear in your public documentation.
When you hide a category or subcategory, all the subcategories and articles under that level will also be hidden.
There are three ways to hide a category/subcategory.
Method 1 - Using the '••• More' option in the category manager
- From the Knowledge base portal, go to Documentation
- Hover the mouse pointer over the category or subcategory name in the left navigation panel, and the ••• (More) icon appears
- Click ••• (More) → Hide
Method 2 - Using the '••• More' option found above the editor
- From the Knowledge base portal, go to Documentation
- Navigate to the desired category or subcategory level and click on it
- Click ••• (More) → Hide
(This option can be found next to the category name)
Method 3 - Using the '••• More' option in the Index overview
- From the Knowledge base portal, go to Documentation
- Select the parent/root category that the subcategory belongs
- Now, all the articles and the subcategories are displayed in the index overview
- Hover your mouse pointer over the subcategory name, click ••• (More) → Hide
Hiding multiple subcategories
You can hide multiple subcategories under the same parent category simultaneously.
- From the Knowledge base portal, go to Documentation
- Navigate to the parent/root-level category of the subcategories you want to delete
- Hover the mouse pointer over the subcategory you want to hide and select the checkbox adjacent to the subcategory name
- Click Hide
Unhiding a category
- From the Knowledge base portal, go to Documentation
- Hover the mouse pointer over the category or subcategory name in the category manager (left navigation panel), and the ••• (More) icon appears
- Click ••• (More) → Unhide
