Accessing Bulk operations actions

  1. From the knowledge base portal, go to Content toolsDocumentationBulk operations
  2. The Bulk operations overview page appears
  3. Navigate to the different versions and languages available in your project using the respective drop-down at the top
  4. Filter the articles with available filter options. For more information, see the filter article
  5. Select the desired articles and you can perform the bulk operation actions:

Actions

There are many actions you can perform on multiple articles. To include an article in mass action, select it by clicking the checkbox.

1. Publish multiple articles

To publish several article drafts at one time:

For example, you want to publish the release documentation in bulk.

  1. Select the articles you want to publish
  2. Click Publish
  3. Click Yes

2. Show multiple hidden articles

To unhide multiple hidden articles:

For example, you want to unhide the articles published in a particular date range.

  1. Select the articles you want to show
  2. Click Show

3. Hide multiple articles

To hide multiple articles:

For example, you want to hide the articles published in a particular date range.

  1. Select the articles you want to hide
  2. Click Hide

4. Add multiple articles to starred

To add multiple articles to starred:

For example, you want to star the articles available in certain categories.

  1. Select the articles you want to star
  2. Click Add to starred

5. Remove from starred

To remove multiple articles from starred:

For example, you want to remove hidden articles from starred.

  1. Select the articles you want to remove from starred
  2. Click Remove from starred

6. Move multiple articles

To move articles to a different category or sub-category in the documentation editor:

For example, you want to move the articles published by a set of authors.

  1. Select the articles you want to move
  2. Click Move, and a blade appears on the right
  3. Choose the destination category or sub-category
  4. Click Move on the bottom right

7. Delete multiple articles

To delete multiple articles:

For example, you want to move the articles published in a particular date range.

  1. Select the articles you want to delete
  2. Click Delete
  3. In the delete confirmation modal, click Yes

8. Add review reminder

To add review reminder for multiple articles:

For example, you want to add a review reminder for the articles published a year ago.

  1. Select the articles you want to set review reminder
  2. Click Review reminder
  3. Enter the reason for the review (optional) and select the time to initiate the review reminder
  4. Click Apply

9. Mark as reviewed

To mark multiple articles as reviewed:

For example, you want to mark as reviewed for articles published within three months.

  1. Select the articles you want to mark as reviewed
  2. Click Mark reviewed
  3. If you select articles with other statuses like published, new article, or draft, this option is disabled

10. Status indicator

To change the article status indicator in the Knowledge base site:

For example, you want to change the status of Updated articles as Custom.

  1. Select the articles you want to change the status
  2. Click Status indicator
  3. Select the desired status and click Apply

11. Add tags

To add tags for multiple articles:

For example, you want to add any desired tag(s) for a set of articles.

  1. Select the articles you want to add tags
  2. Click Add tags
  3. Type in the desired tag(s) in the Add tags field or select the desired tag(s)
  4. Click Apply

12. Generate PDF

To download the published articles as a PDF document:

For example, you want to download the articles by an author as a PDF document.

  1. Select the articles you want to download as a PDF document
  2. Click Generate PDF and wait for a few seconds
  3. Click Download in the Download the PDF copy window
  4. The PDF document is downloaded to your local device storage

Only published article(s) can be downloaded as a PDF document.

13. Mark as deprecated

To mark the articles as deprecated:

For example, you want to mark the articles published before a specific date as deprecated

  1. Select the articles you want to mark as deprecated
  2. Click Mark as deprecated
  3. Toggle on/off and enter the deprecated message
  4. Click Save

14. Machine translate

You can perform machine translation for multiple articles at once.

For example, you want to perform machine translation for a set of articles published in a specific date range.

To perform machine translation for multiple articles in the default language:

  1. Select the articles you want to perform machine translation
  2. Click Machine translate
  3. Select the language(s) and type yes in the confirmation field
  4. Click Yes

To perform machine translation for multiple articles in other languages:

  1. Select the articles you want to perform machine translation
  2. Click Machine translate
  3. Type yes in the confirmation field
  4. Click Yes
  • After translation, all the translated articles are switched to the WYSIWYG (HTML) editor
  • Articles in published status will be translated and remain in forked status

15. Mark translated

To mark multiple articles as translated:

For example, you want to mark a set of articles as translated.

  1. Select the articles you want to mark as translated
  2. Click Mark translated
  3. The globe icon adjacent to the article goes off

16. Needs translation

To show multiple articles Needs translation:

For example, you want to mark a set of articles as **Needs translation.

  1. Select the articles you want to mark as Needs translation
  2. Click Needs translation
  3. A globe icon appears adjacent to the article
