Reader email activity

The email activity history panel in Document360 lets you view the email notification history for an individual reader account over the past 30 days. For each email event, you can see the message type, delivery status, and the date of the last event received.


When to use email activity history

  • You want to verify whether an invitation email was delivered to a reader.
  • A reader reports they did not receive an expected notification email and you need to investigate.
  • You want to check the delivery status of recent email events sent to a specific reader.

Before you begin

  • You must have the Admin or Owner portal role, or a custom role with Manage user permission.
  • Email activity history shows data for the past 30 days only.

How to view email activity history for a reader

  1. Navigate to Settings (

    ) > Users and security in the left navigation bar of the knowledge base portal.

  2. In the left navigation pane, navigate to Readers & groups > Readers.

  3. Hover over the reader whose email activity you want to review.

  4. Click the Email notifications (

    ) icon that appears on the row.

    The email activity panel opens, showing email events for that reader over the past 30 days.

The panel displays the following information for each event:

Column Description
Message The type or subject of the email notification sent
Status The delivery status of the email
Last event received The date and time of the most recent event for that message

Limitations

Limit Detail
History window Past 30 days only. Events older than 30 days are not shown.
Scope History is per reader. There is no aggregate email activity view across all readers from this panel.
Actions The panel is read-only. You cannot resend emails or clear the history from this panel.

Best practices

  • Check email activity history before asking a reader to check their spam folder. If the status shows a delivery failure, the issue is likely on the sending side and not in the reader's inbox.
  • If a reader did not receive an invitation email, verify the status in the activity history first, then inform the project owner to resend the verification email if needed.

FAQ

Can I resend an email to a reader from the activity history panel?

No. The panel is read-only. To resend a verification or invitation email, the project owner must handle this from the reader's account settings.

What if the panel shows no activity for a reader?

If no email events appear, either no emails were sent to that reader in the past 30 days, or the history for that period has not yet populated. Verify the reader's email address is correct in their profile.
