Enabling reader self-registration in Document360 allows users to create their own reader accounts directly from your knowledge base site, without needing an invitation from a project team member. You can disable it at any time to stop new self-registrations.
NOTE
The Readers self-registration feature is available only if your Document360 project's Reader access is set to Private or Mixed.
When to enable or disable self-registration
Enable when:
- You want readers to create their own accounts without requiring manual invitations from your team.
- You are sharing your knowledge base URL publicly and want a frictionless onboarding path for new readers.
Disable when:
- You want to restrict access to only invited readers.
- You need to temporarily pause new self-registrations while reviewing your access controls.
Before you begin
- Your project's reader access must be set to Private or Mixed.
- You must have the Admin or Owner portal role, or a custom role with Manage user permission.
How to enable reader self-registration
- Navigate to Settings () > Users and security in the left navigation bar of the knowledge base portal.
- In the left navigation pane, navigate to Readers & groups > Readers.
- Turn on the Enable reader self-registration toggle.
- Under Content permission, select the default content access for self-registered readers:
| Option | What it does |
|---|---|
| All content | Readers can access all knowledge base content |
| Map reader group(s) | The content access permissions of the selected reader group(s) will apply |
How to disable reader self-registration
- On the Reader self-registration page, turn off the Enable reader self-registration toggle.
- Click Disable in the Disable reader self-registration panel.
If the Enable reader self-registration toggle is turned off, readers cannot register themselves.
Requirements
| Requirement | Detail |
|---|---|
| SSO compatibility | Self-registration does not work when SSO is enabled. SSO bypasses the Document360 login page where self-registration occurs. |
| Project access type | Only available for projects with reader access set to Private or Mixed. |
Best practices
- Set a default content permission before enabling self-registration so newly registered readers are automatically assigned the correct access level.
- Use Map reader group(s) rather than All content to limit what self-registered readers can see by default. You can always adjust individual reader access afterward.
- If you use domain restrictions, configure them before enabling self-registration to ensure only readers from approved domains can register. See Add a domain restriction.
FAQ
Why is self-registration not working for my project?
Self-registration does not function as expected when SSO (Single Sign-On) is enabled because SSO bypasses the Document360 login page, where self-registration typically occurs. Self-registration with domain configuration is designed for use on the Document360 login page only.
What happens if no default reader group is selected?
If no default reader group is selected, self-registered readers will have unrestricted access to the entire knowledge base, without any group-specific restrictions.
