The Tags - Full portal search page in Document360 lets you search, browse, and manage all tags in your knowledge base project from a single dedicated view. It helps team members quickly locate tags by name and understand exactly where each tag is used across articles, category pages, and drive files — reducing the risk of broken dependencies when editing or removing tags.


When to use tags full portal search

  • Locate a specific tag quickly — search by keyword instead of scrolling through the full tags list.
  • Audit tag usage before making changes — review which articles, category pages, or drive files depend on a tag before renaming or deleting it.
  • Remove stale tag dependencies — clean up tags that are no longer relevant by selectively removing their dependencies from content.
  • Navigate directly to tagged content — jump to an article or category page from the dependency panel without leaving the search view.

How to search tags in the full portal search

  1. Click the Search () field in the top navigation bar.

    The search overlay opens.

    NOTE

    Press the Escape key to close the search overlay without making a selection.

  2. From the All dropdown to the left of the search bar, select Tags.

  3. Type your search keyword in the search bar.

    The search results appear, displaying the following information for each matching tag:

    Column Description
    Tag name The name of the tag as defined in the project
    Dependency in articles Number of articles that use this tag
    Dependency in category pages Number of category pages that use this tag
    Dependency in drive file Number of drive files that use this tag
  4. Click a tag to open the Tag Dependency panel.

    The panel shows a detailed breakdown of all content that depends on the selected tag.

View article and category page dependencies

The Tag Dependency panel displays the following information for each dependent article or category page:

Field Description
Article / category page name The title of the dependent content item
Version The project version the content belongs to
Language The language variant of the content
Contributor The team member who contributed to the content
Current status indicator The current workflow status (e.g., Draft, Published)
Publish date The date the content was last published
  1. Click an article or category page name to open it directly in the documentation editor.

View file dependencies

The Tag Dependency panel displays the following information for each dependent drive file:

Field Description
File thumbnail A preview thumbnail (displayed for image files only)
Filename and format The name and file extension of the drive file
  1. Click Download to save the file to your device's local storage.

Remove tag dependencies

  1. Select the checkbox to the left of any article, category page, or file whose dependency you want to remove. To remove all dependencies at once, select the top-level checkbox.

  2. Click Remove dependencies at the bottom of the panel.

    The selected dependencies are removed from the tag.

  3. To close the panel without saving, click the X icon. To discard any unsaved selections, click Cancel.


Best practices

  • Search before deleting a tag — always check the dependency count in search results before removing a tag to avoid breaking content that references it.
  • Review the contributor column — when cleaning up dependencies, contact the listed contributor before removing a tag from their content to avoid unintended changes.

FAQ

Can I search for tags across multiple projects at once?

No. The Tags - Full portal search is scoped to the currently active knowledge base project. To search tags in a different project, switch to that project first.

What happens to an article when I remove a tag dependency from it?

Removing a tag dependency unlinks the tag from that article or category page. The article itself is not deleted or modified — only the tag association is removed. The article remains published and accessible.
