The Tasks page provides a dedicated view of your assigned documentation tasks. It includes Workflow, Feedback, and Review reminder tasks. You can perform quick actions directly from the task list or open the associated article.

The standalone Tasks page lists all tasks assigned to you, regardless of timeframe. You can filter tasks by due date using the Filter icon. The Tasks card on the Overview page, however, displays only tasks due Today, This week, Overdue, and Snoozed for the current week.

NOTE

If you previously used the Workflow assignment page (sometimes referred to as the Workflows page), this functionality is now part of the Tasks card on the Overview page. The button for the Workflow assignment page has been removed.


Accessing the Recent page

You can access the Tasks page from multiple places in Document360. You can access it from:

  • The left navigation bar

  • The Overview page

To access the Recent page from the left navigation bar, hover over the Home () icon and click Tasks.

  1. Hover over the Home () icon and click Overview to navigate to the Overview page.

  2. In the Tasks card, click View all.

This method is applicable if you are already on the Overview page.

Understanding task types

The following task types are displayed:

  • Workflow tasks – Articles in which you are assigned any workflow status.

  • Feedback tasks – Reader feedback and No search result feedback for articles, and Answered or Unanswered query feedback for Eddy AI, all assigned to you from the Feedback manager.

  • Review reminders – Articles marked as Needs review for which you are a contributor.

NOTE

Tasks without a due date are listed under Today by default. A hyphen is shown in the due date column, and a tooltip indicates that the task has no due date.

Each task displays the article title, task type, status, due date, and assignee.


Managing your tasks

To access quick actions, hover over a task, use the More options menu, or select the checkbox next to the article name.

When you hover over a task, the following two actions are displayed:

  • Snooze (available for all task types)
    You can postpone the task by choosing one of the following options:
    Tomorrow (9 AM), Next week (Monday, 9 AM), or a custom date and time.

  • One task-specific action:

    • Workflow tasks: Update workflow status

    • Feedback tasks: Manage feedback

    • Review reminder tasks: Mark as reviewed

Click the More options icon to access all available actions:

  • Workflow tasks: Publish & Publish later.

  • Review reminder tasks: Publish & Publish later.

Performing checkbox actions

When you select the checkbox next to a task, the following actions are available:

  • Workflow tasks: Publish, Publish later, Update workflow status, Snooze, Add labels.

  • Feedback tasks: Snooze & Manage feedback.

  • Review reminder tasks: Publish, Publish later, Snooze, Add labels, Mark as reviewed.

NOTE

If your article is marked as Needs review and is Published, the task will appear in the list, but the Publish and Publish later actions will not be shown.

If you select multiple tasks, you’ll see only the actions common to all selected task types.


Filtering and searching tasks

You can refine your task list using filters and the search bar.

Filter based on task type

Select one or more task types (Workflow, Feedback, or Review reminder) by clicking the tabs at the top of the list.

Filter based on timeline (via Due date filter)

You can apply timeline filters from the Due date dropdown inside the Filter icon:

  • This week – Tasks due during the current calendar week (Sunday to Saturday).

  • Today – Tasks due today or with no due date.

  • Overdue – Tasks with a past due date.

  • Custom date – Choose a specific due date.

NOTE

Tasks assigned to you without a due date will automatically appear as due today. These tasks will remain on today’s list and will not be marked as overdue.

Filter based on status

Filter tasks based on who they are assigned to. Use the Assigned to me dropdown to choose from the following options:

  • Assigned to me – Displays only tasks assigned to you.

  • Unassigned – Displays tasks that do not have an assignee.

  • Snoozed task – Displays tasks that I have snoozed.

  • All users – Displays tasks assigned to all users. (Admins only)

  • Specific users – Select one or more users from the list. (Admins only)

  • Groups – Switch to the Groups tab to filter tasks by team groups. (Admins only)

NOTE

  • Admins can view and manage tasks assigned to any user or group and can also filter unassigned tasks. However, they cannot snooze tasks assigned to others or view tasks snoozed by others.

  • Regular users can only view and manage tasks assigned to themselves.

Filter using search bar

Use the search bar to find tasks by article name. The search runs in real time and matches both partial and complete titles.
