Replicate articles

Replicating an article displays the same article in multiple categories or workspaces without creating separate copies. There is only one source article. All replicated instances show identical content, and any updates to the source are automatically reflected everywhere it appears.


When to replicate an article

  • You want to surface a single article in multiple categories where it is relevant, without duplicating and manually maintaining multiple versions.
  • You need to make an article from one workspace accessible in another while keeping a single source of truth.
  • The same information needs to appear in different parts of your knowledge base and you want updates made once to reflect everywhere.

Replicate an article

  1. Navigate to Documentation () in the left navigation bar.
  2. Hover over the article in the Categories & Articles pane and click the More () icon.
  3. Select Replicate ().
  4. In the Replicate article dialog, configure the following:

Other ways to replicate an article

  • From a Folder or Index category: Hover over the article inside the category, click the More () icon, and select Replicate (). Select the destination workspace and category, then click Replicate.
  • From the article editor: Open the article, click the More () icon at the top right, and select Replicate (). Select the destination workspace and category, then click Replicate.

CAUTION

Replicating categories is not supported. You can only replicate articles.


What happens when you replicate an article

  • The article appears in the destination category with a Replicate () icon in the article tree, indicating it is a reference to the source.
  • All content is linked to the source. Editing a replicated instance edits the original article.
  • Replicated articles are not included in the All articles page, bulk actions list, or CSV export.
  • If the source article is deleted, all replicated instances are also removed from their respective categories.
  • If a replicated article is moved to a private category, the lock icon replaces the replicate icon in the article tree. The article's content and functionality remain unchanged.
  • When you star an article, all of its replicated versions are also automatically starred.

Best practices

  • Use Replicate instead of Clone when the content should stay identical across locations. Replication eliminates the risk of versions drifting out of sync.
  • Be aware of deletion behaviour. Deleting the source article removes all replicated instances. If you need to remove a replicated instance from one category without affecting others, remove it from that category directly rather than deleting the source.
  • Check private category behaviour. If you replicate an article to a private category, the lock icon will replace the replicate icon in the article tree. This is expected and does not affect the article's content.
  • Do not rely on replicated articles for bulk operations. Replicated articles do not appear in the All articles page or bulk actions list and are excluded from CSV exports.

FAQ

If I edit a replicated article, does it change the original?

Yes. Replicated articles are not independent copies — they are references to the source. Editing a replicated instance edits the original article, and that change is reflected in all other locations where the article is replicated.

What happens if I delete the source article?

All replicated instances are removed from their respective categories. There is no way to recover the replicated instances independently.

Why does my replicated article not appear in the All articles page?

Replicated articles are intentionally excluded from the All articles page, bulk actions list, and CSV export. Only the source article appears in these views. To find all locations where an article is replicated, open the source article in the editor.

Can I replicate an article to a different workspace?

Yes. Use the Workspace field in the Replicate article dialog to select a different destination workspace. You can replicate an article to any existing category within the selected workspace.

Why does a lock icon appear instead of the replicate icon on my replicated article?

This happens when a replicated article is placed in a private category. The lock icon indicates restricted access and replaces the replicate icon in the article tree. The article's content and functionality are not affected.
