Article optimization

Prev Next

Article optimization in Document360 is a collection of tools and settings that improve the discoverability, quality, and governance of your knowledge base content. These features work together to help your articles rank in search engines, reach the right audiences, stay accurate over time, and meet internal quality standards, all from within the knowledge base portal.

What article optimization covers

Article optimization spans two areas:

Area Features
Discoverability SEO, Sitemap, Search visibility, Share via private link, Redirect rules, Tags
Quality and governance Health check metrics, Related articles, Mark as deprecated, Review reminder, Read receipts, Labels, Revision history, Security

Discoverability

SEO

Add meta titles and descriptions to articles and index categories, generate SEO descriptions in bulk using Eddy AI, and control how your content is indexed via Robots.txt.

Learn more →

Sitemap

Document360 automatically generates a sitemap for your knowledge base site to help search engines discover and index your content.

Learn more →

Search visibility

Exclude specific articles or categories from external search engines, the knowledge base search bar, or Eddy AI assistive search, independently of each other.

Learn more →

Share articles via private link

Generate a time-limited private link to share a draft or restricted article with reviewers or stakeholders who do not have portal access.

Learn more →

Redirect rules

Manage article slugs and set up redirects so readers who follow old URLs automatically land on the correct article. Supports bulk import and export via CSV.

Learn more →

Tags

Reader-facing labels that improve content discoverability within your knowledge base site. Create, group, and add tags to articles for richer search and filtering.

Learn more →

Quality and governance

Health check metrics

Surface SEO and readability issues before you publish. Metrics include missing meta titles, broken links, reading level, and sentence length.

Learn more →

Related articles

Recommend other articles to readers at the bottom of each article. Added manually or generated by Eddy AI based on article content.

Learn more →

Mark as deprecated

Flag articles that are outdated but not yet deleted. Deprecated articles display a visual indicator to readers and are excluded from search by default.

Learn more →

Review reminder

Schedule automatic reminders for article owners to review and update content at a set interval. Keeps time-sensitive articles accurate.

Learn more →

Read receipts

Require readers to acknowledge they have read an article. Useful for compliance, onboarding, and policy documentation. Monitor status in Analytics.

Learn more →

Labels

Internal-only tags that help your team categorise and triage articles during the content workflow. Not visible to knowledge base site readers.

Learn more →

Revision history

Every article version is automatically saved. Access previous versions, compare differences, fork an older version, or restore a prior state at any time.

Learn more →

Security

Control who can access specific articles and categories using Document360's access control settings.

Best practices

  • Run the health check on every article before publishing. Fix SEO and readability issues as part of your publishing checklist.
  • Set review reminders on any article that contains time-sensitive information, such as pricing, API references, or compliance policies.
  • Use labels to triage articles during a content audit, and tags to help readers find related content from the knowledge base site.
  • Configure search visibility for agent-facing or internal articles so they do not surface in external search or Eddy AI results for customers.
  • Add redirect rules whenever you change an article slug or restructure your navigation. Broken links damage both SEO and reader trust.
